Recruiting faster to 10x the business

Beyond speed and efficiency, Box’s recruiters are determined to act as strategic advisors to the business. They want to "10x it" — not just filling roles, but delivering insights that shape hiring strategies and business decisions.

But to do so, Kaitlyn and her fellow recruiters are tasked with filling critical requisitions quickly, and often under tight timelines. From hard-to-fill niches to new sectors, they needed a faster way to engage top talent and build their pipeline.

“In order to hit our business goals, we need to produce results quickly,” Kaitlyn shares. “Sourcing the right candidates with the speed we needed was a challenge.”

Box’s recruiting team also struggled with fragmented systems that slowed down workflows. "We leverage a lot of different types of technologies and we have to bounce around to find candidates," Kaitlyn explains. "The team needed a single platform that could help us engage passive candidates, resurface candidates in our ATS, and send campaigns to our talent communities."

One platform, all the talent

Kaitlyn played a hands-on role in Box’s enterprise rollout of the platform, working with Findem’s Value Consultants to effectively structure implementation and improve adoption across Box’s GTM teams. 

They started by introducing Findem’s Copilot for Sourcing, followed by the rollout of campaigns, and then the use of talent insights — ensuring the team could build confidence in the platform from day one, while ramping quickly to meet Box’s goals to scale the business.

Finding talent faster, across every channel with Copilot

“Our STEP (Strategic Talent Engagement) program encourages proactive recruiting and sourcing — even if a role isn’t open, we want to engage top talent and build those relationships so we can nurture them over time,” Kaitlyn says. 

But doing so was difficult, with Kaitlyn and the team bouncing between tools to find candidates that fit hiring manager’s specific requirements. She started by using Findem’s Copilot to comb through Box’s expansive ATS, talent pools, inbound applicants, plus external channels in one place. 

During Box’s fast-paced “sourcing jams,” this approach makes it easy for Kaitlyn to build shortlists from all of her hiring channels in just a few minutes. A candidate Kaitlyn interviewed years ago, for example, wouldn’t have shown up in a previous search. But with Copilot and Findem’s enriched 3D profiles, even the long forgotten ATS candidates are considered, with up-to-date, verified data informing every recommendation and decision.

“Before Findem, I’d manually build LinkedIn Boolean strings and tweak them over time,” Kaitlyn says. “But I knew I was missing people that I had already talked to who may fit the role. Copilot helps us rediscover talent we already know and trust and search for new candidates at the same time. I have the full picture and the sourcing assistance.

Engaging talent with the right message, at the right time

Kaitlyn has seen firsthand how Findem’s enriched profiles and AI assistant unlock deeper insights that aren’t always visible on a resume. “When I’m looking for a senior product marketing manager with public sector experience, and I’m not seeing it verbatim on their resume, I can ask, ‘Does this candidate have public sector experience?’ and the AI feature verifies it for me. This added data layer saves me so much time.”

Box’s recruiters are using these insights to tailor outreach campaigns with precision, running structured A/B tests and finding the right messaging mix for different roles. It’s part of their ongoing learning culture — bringing curiosity to their work and improving outreach performance across the board.

In fact, Kaitlyn’s outreach stats show that candidates from warm channels are moving through the hiring process faster and responding more quickly.

From recruiters to trusted advisors

With Findem’s talent insights, Kaitlyn and her team have transformed the way they partner with hiring managers. What was once a manual, time-consuming process of creating market maps and other insights is now built into their workflow from day one.

“Talent Insights really stand out to me,” Kaitlyn says. “Historically, it’s been a manual process to create our total addressable market. Now, I have talent insights to look at when we first open up a search.”

She recalls a critical moment while hiring for a senior solutions engineer role, where her initial search was limited to two locations in California. “I ran a Talent Market Insights Report and showed my team that our talent pool was narrowed based on the locations we were targeting. We ultimately opened up the search, lessened some hard requirements, and that was actually my first Findem hire!”

The insights aren’t just being used during searches — they’re also critical to conversations with hiring managers before a search even kicks off. “My team and I use the insights report to sit down with hiring managers and have an interactive conversation around the companies they are trying to target or the addressable market,” Kaitlyn explains. “We are forging trusted relationships with them and nailing what they are looking for in their hires because of this proactive data that we can provide.”

With data and digestible visuals at their fingertips, Kaitlyn’s team is spending less time on manual research and more time acting as true advisors to the business.

Faster searches, stronger pipelines, and strategic impact

Since adopting Findem, Kaitlyn’s time to kick off a search has been reduced by 3 to 5 hours per project — a game-changer for keeping pace with Box’s growth goals.

Beyond time savings, the quality of their pipeline has transformed. Employee referrals and warm leads surfaced by Copilot now account for about one-third of Box’s candidate pool, helping Kaitlyn and her team connect with high-quality talent that moves through the process faster and reduces outbound sourcing time.

Most importantly, Box’s recruiters are becoming the strategic partners they set out to be. With data-backed recommendations, they’re guiding hiring managers and leadership teams with data-backed insights that shape smarter hiring decisions across the business.

And the journey isn’t over. Kaitlyn and her team are already looking forward to what’s next, including upcoming enhancements to Findem’s CRM capabilities.

“We’re excited about the changes coming,” Kaitlyn says. “The more we can streamline and centralize, the more powerful our recruiting engine becomes.”
